We love you. You matter to us. You are more than just a client. We’ve been excited for your wedding, because we’re excited for you and are thrilled to be able to give you the gift of love captured through images.

If you choose to reschedule your wedding, I want you to be aware of my availability before starting the process of rescheduling your wedding date so we can ensure that we can be a part of your new plan. To make things easy I have created this guide including steps to rescheduling, my availability calendar for later in 2020 as well as 2021, my rescheduling policy, as well as some ideas if you don’t want to wait.

Step One: Contact your venue

Contact your venue first and ask for dates they have available in 2021. Venues typically only book 1 wedding a day so it is important that they are consulted with first about a date change. Some will allow soft holds while you coordinate with your must have vendors.

Step Two: Contact your vendors.

Reach out to all your vendors and let them know the date options your venue provided. Ideally everyone should be available for at least one of those dates. If not, you may need to prioritize which vendors are “must have” and which ones you can live without. Keep in mind that smaller businesses (like ours, videographers, etc.) can only do one wedding a day, whereas larger businesses have multiple teams that they can contract out (caterers, florists, etc.) so there’s more flexibility with them. Don’t contract a new date until you talk to all your vendors. Remember each vendor is a small business so each will have their own rescheduling policies.

Step Three: Date Change

Send an “unsave the date” to your guests. Follow-up with a new save the date at least 12 weeks before your new date. Send out the official invitation 8 weeks before your date. Yay! Send these digitally (free and eco-friendly) or via mail. Some designers are offering free designs if you order the new cards from them.

• Ideally, you will plan your new date around a day we have available. If you choose a date we are already booked, then Tommy and I will split up, and I will hire a talented photographer of equal skill and talent to help him photograph your wedding day, and another to support me on the other wedding. Either way you will be taken care of by someone who loves you (us!) and will have an incredible team. But we always will prefer to work together – we make a great team after all ;) – and that would be the ideal situation!

• Keep in mind that Saturdays will go fast, but Friday weddings and Sunday weddings are also awesome. Fridays are actually super popular because you have the entire weekend to recover from the party and celebrate with your out of town guests! It will likely be easier to accommodate all of your vendors’ schedules if you are open to non-Saturday dates.

• There’s no rescheduling fee. You will need to sign a rescheduling addendum. If you are able, some couples have offered to pay an additional retainer to help keep us afloat in the meantime. If you choose to do this (thank you!!) we will add 2 hours of coverage to your contract. It’s basically just paying for that additional time in advance to help us out and is absolutely appreciated! If you can’t do this, there is no penalty. We want to work with you when it’s safe to do so.

• Your retainer payment and any payments made are applied to your new wedding date.

• Your payment due dates will adjust to your rescheduled wedding date.

• You can put a soft hold on a 2021 date if you are unsure about rescheduling at this time. If someone else chooses that soft hold date you will be notified and will then have 72 hours to decide if you want to move forward with officially rescheduling or the date will be released to the other couple.

Several couples have chosen to reschedule their big party to next year and have hired us to photograph a smaller ceremony this year so they can still be legally married now. This is honestly a win-win in our book. You don’t have to wait to get married, you still get gorgeous photos to share with everyone who can’t make it, and we can have an incredible party when all of this craziness is behind us!

We love photographing the real stuff, and there will be no lack of love and emotion at a smaller wedding. Even if it’s just family. Even if it’s just the two of you.

Ultimately, no one can make this decision but you. However, I strongly feel that you deserve the wedding day you have planned for and paid for, and should postpone, not cancel. If you are trying to save money, canceling will cause you to lose your retainers with your vendors. Keep in mind you will need to be flexible about date availability.
After that, determine if you are willing to or able to limit your guest count to less than 50. Consider travel limitations and high risk guests when making that decision. We will likely be able to have these smaller gatherings this year. Is that a compromise you are willing to make or would you want to wait until you can have everyone in attendance?

Us, obviously! Just kidding.
All of them. You are likely on a payment plan and you will need to see what each vendors policy is for payments when rescheduling.
Everyone’s priorities are different, and who you consider a “must have” vendor might be different from the next couple. For some people photography is number one. Others it’s food, or entertainment.
Here is the order I would consider:
1. Your venue.
2. Your photographer, videographer and any vendor that is a single person business.
3. Vendors that have a team and are known to do multiple weddings a day, they will have more flexibility.

 

Once all vendors have confirmed a date, put them all in a group email to send the final confirmation, this is a good way for us to connect! Your vendors are a team of professionals all working together to to serve you!

Right now only emergency marriage licenses are being granted with that expected to change after June 5th 2020. Some couples have eloped this year in addition to still planning their larger ceremony and reception on their rescheduled date!
